How to pick in two minutes

Match the job you hired Notion Mail for. Do not buy a $30 client if you only needed the messages, which already sit in Gmail.

You only needed the inbox

Stay in Gmail. Export drafts and scheduled mail, then stop. Notion’s own help page says the history is already there.

You liked views, labels, and AI triage

Shortwave is the closest Gmail-only client: splits, bundles, and AI filters. It is not a Notion database. Recreate the views you actually used, not all of them.

You need Outlook, IMAP, or a free app

Spark Free covers multiple accounts. Plus adds AI and a Notion integration if you still want mail next to docs. Canary is the cheaper privacy path.

You want speed, or drafts without switching clients

Superhuman Mail if you will live in a new client. Fyxer if you want to keep Gmail/Outlook and only add voice-matched drafts plus a meeting notetaker.

Export Notion Mail before September 21

The inbox shuts September 22. Unsaved Notion Mail-only data is deleted that day. Official steps live on Notion’s help page.

  1. 1. Export what only exists in Notion Mail Drafts, scheduled emails, snippets, and auto-label instructions. Notion documents this at notion.com/help/notion-mail-inbox-is-going-away-what-to-do-next. Last day: September 21, 2026.
  2. 2. Download snippet attachments by hand Files attached to snippets do not carry over. Notion: Settings → Snippets. Custom views and email reminders also do not transfer to Gmail.
  3. 3. Confirm Gmail already has the threads Search Gmail for a recent thread you handled in Notion Mail. If it is there, you do not need a migration tool for history.
  4. 4. Recreate two views, not twelve Pick the two filters you actually used every day. Rebuild those in Shortwave, Spark, or Gmail labels. Leave the rest.
  5. 5. If you used Notion agents for email, leave them Notion says the Gmail AI Connector, mail blocks on pages, and agent mail tools keep running after the inbox app dies. Do not rip those out unless they fail.

Frequently asked questions

Is Notion Mail shutting down?

Yes. Notion is winding down the Notion Mail inbox across web, desktop, and iOS on September 22, 2026. September 21 is the last day to export Notion Mail-only data. The announcement is on Notion’s help center.

Will I lose my emails?

No. Notion Mail synced two ways with Gmail. Message history stays in Gmail. Drafts, scheduled emails, snippets, and auto-label instructions live only in Notion Mail and are deleted if you do not export them by September 21.

What is the closest Notion Mail alternative?

If you liked database-style views and AI labels inside Gmail, Shortwave is the closest client. If you need Outlook or IMAP, use Spark. If you want keyboard speed, use Superhuman Mail. If you only needed the inbox, stay in Gmail.

Do Notion AI email agents still work after September 22?

Yes. Notion says the Gmail AI Connector, mail blocks on Notion pages, and agent mail tools that connect through Gmail keep running after the inbox app shuts down. Synced email databases in Notion stop receiving new messages after that date.

Is there a free Notion Mail alternative?

Gmail itself is free and already has your mail. Spark Free covers multiple accounts without AI. Canary has a $0 plan. Shortwave and Fyxer offer time-boxed trials. Superhuman Mail is paid.

Do you rank tools by affiliate payout?

No. Placement follows the job: stay in Gmail, AI views, free/cross-provider, speed, drafts-on-top, privacy. Some links may become affiliate links later. That does not change the order on this page.
